ORGANIZATIONAL OVERVIEW

The Roman Catholic Church in the State of Hawaii is a nonprofit church organization comprising of parishes and schools located throughout the State of Hawaii. On August 8, 2023, one of RCCH’s parish and school, Maria Lanakila and Sacred Hearts School were impacted by the devastating wildfires in Lahaina and have had to relocated to Kapalua at its mission church, Sacred Hearts. Currently, RCCH is working with FEMA (Federal Emergency Management Agency) to assist with the disaster cleanup, the establishment of a temporary location for the school, and the rebuilding of the new campus in Lahaina.  

SUMMARY OF REQUEST

RCCH is currently accepting proposals for accounting/bookkeeping services to support the current accounting staff with the administration and management of the FEMA process. The purpose of this RFP is to solicit proposals from various financial professionals/firms, conduct a fair and extensive evaluation based on criteria listed herein, and to select the vendor that best meets the immediate and ongoing needs of the organization.

SCOPE OF ENGAGEMENT AND DELIVERABLES 

Under this engagement, I will perform the following services as applicable:

FEMA meetings: 

Attend FEMA meetings in person and via conference call on an as needed basis.  

Bookkeeping and Accounting Services:

Provide financial support to the diocesan finance office and Maria Lanakila/Sacred Hearts School accounting office.  

     a.Process cash receipts and cash disbursements relating to the FEMA recovery for Maria Lanakila/Sacred Hearts School.

     b.Prepare request for payments and track payables.  

     c.Process expense reimbursements and mileage reports for payment.

     d.Process timesheets in accordance with FEMA requirements. e.Prepare FEMA worksheets to account for disbursements relating to the disaster recovery efforts on a project basis.  

     f.Provide analysis of financial data as requested by FEMA.

    g.Prepare financial reports for FEMA and the management of RCCH.  

    h.Respond to requests for advice and information from management during the FEMA project as needed.  

    i.Meet with the Director of Parish and School Accounting and Controller as needed.

    j.Other accounting/bookkeeping services as needed to comply with FEMA.
